Contract Profiles

A contract defines the commercial relationship between your property and an agency or direct-sales channel. It sets the valid date range, applicable room types, board types, and base currency. Each contract can have multiple seasonal periods with different rates.

Seasonal Periods & Rates

Within a contract, you define periods that map to seasons. Each period specifies per-night rates for single, double, triple, and quad occupancy, plus child and baby pricing. Periods cannot overlap for the same room type to prevent rate conflicts.

Discount Rules

Otelium supports a variety of automated and manual discount mechanisms that apply on top of contract rates.

• Early Booking — Discount based on days between booking and arrival
• Long Stay — Discount for stays exceeding a minimum night threshold
• Honeymoon — Special rate for couples within a window of their wedding date
• Group — Discount for simultaneous multi-room bookings
• Age-based — Discount for seniors or other defined age brackets

Stop-Sale & Quotas

When you need to close sales for a specific room type and date range, stop-sale rules block new reservations while preserving existing ones. Quotas allow you to allocate a maximum number of rooms per agency within a period, with automatic decrement as bookings are made.

Cancellation Policies

Each contract can define tiered cancellation penalties based on how close to arrival the cancellation occurs. For example: free cancellation up to 7 days before arrival, 50% penalty between 7 and 3 days, and 100% penalty within 3 days. The system applies these rules automatically during cancellation.

Tax & Service Charge Configuration

VAT, tourism taxes, service charges, and extra-bed fees can be defined as percentage or flat-amount rules. They are mapped to contracts and automatically included in reservation price calculations and folio line items.
